How to keep track of appliance and electronics warranties

Washing machines, fridges, laptops and TVs come with a warranty, a receipt and a manual, and all three tend to scatter. When something breaks, you need them together and quickly. Here is how to keep warranty details, proof of purchase and manuals in one place, and know before coverage runs out.

Two Allventory screens: the Date tracker’s Warranties tab showing 9 warrantied items, 2 expiring within 30 days, with the coffee maker at 14 days left and the dishwasher at 21 days left, and the dishwasher’s Warranty tab with Bosch as provider, Manufacturer coverage, 24 months and its policy terms.

Why warranty claims go wrong

Most warranty trouble is not about the product. It is about the paperwork. The fault is covered, but you cannot find the receipt, you are not sure when you bought it, or you only realize the warranty existed a month after it ended.

  • The receipt is lost, or printed on thermal paper that has faded to blank
  • The purchase date is a guess, so you cannot tell whether the item is still covered
  • The serial number is on a plate behind the fridge or under the washing machine
  • The manual went out with the box, and the troubleshooting page is the one you need
  • Extended warranties and card-protection plans have their own terms and end dates
  • Each appliance has a different warranty length, so nothing reminds you when one is about to end

What counts as proof of purchase

Manufacturers and retailers want to see that a specific product was bought from a specific seller on a specific date. The strongest proof names the exact product and the purchase date; for electronics and appliances, a serial number together with a dated record shows both that it is the same unit and that it is still covered.

Paper receipts fade, especially thermal ones, so photograph or scan them the day you buy. Order confirmations from your email count too, and so does a bank or card statement when nothing else is available, though it is weaker because it rarely names the product.

  • Itemized receipt or invoice
  • Online order confirmation
  • Product registration confirmation from the manufacturer
  • Delivery note or packing slip listing the item
  • Bank or card statement showing the purchase

What to keep for each appliance or device

Put everything for one item in one place, rather than a folder of receipts and a separate drawer of manuals. When the dishwasher stops draining, you want its model number, its manual and its warranty end date on one screen.

  • Brand, model and serial number
  • Purchase date, price and where you bought it
  • A photo of the receipt or the order confirmation
  • Warranty provider, length or end date, and the main terms
  • Extended warranty or protection plan details, if you bought one
  • The manual, or at least the quick-start and troubleshooting pages
  • Installation or service records

Register it, record it, set a date

A few minutes on delivery day saves most of the trouble later.

  1. Find the serial number

Look inside the door frame of washers, dryers and dishwashers, on the back or inside of fridges, and on the bottom or back of electronics. Photograph the plate.

  2. Capture the receipt

Photograph the paper receipt before it fades, or save the order confirmation.

  3. Register with the manufacturer

Registration puts the purchase on record with the brand, which helps if the receipt goes missing later.

  4. Record the warranty end date

Note the length and end date of both the manufacturer warranty and any extended plan.

  5. Keep the manual with the item

Save the PDF from the manufacturer’s site, or photograph the pages you are likely to need.

Why one place beats a drawer of papers

Warranty information is only useful at the moment something goes wrong, and that moment is rarely convenient. A single record per item means you can answer the support agent’s questions in one go: model, serial, purchase date, proof of purchase. You can also see at a glance which items are still covered before you pay for a repair.

It also helps beyond repairs. The same records support an insurance claim, a resale listing or a handover when you sell a house with appliances included.

How Allventory keeps it together

Allventory keeps the item, its paperwork and its dates in one record, available on your phone and on the web.

  1. Files attached to the item

Attach up to 20 files to each item and mark them as a receipt, warranty, manual or other document. Photograph a document straight from the item.

  2. Receipt reading and serial scanning

Let receipt reading suggest the purchase date and price from a photo of the receipt for you to check, and read a serial number from a photo of the label.

  3. Warranty details on every item

Record the warranty provider, end date or length in months, and terms.

  4. A date tracker for what is ending

The Tracking tab lists warrantied items with the days left on each, and filters for coverage ending within 30 or 90 days.

  5. Reminders before coverage ends

Turn on push reminders in the Android app, or email reminders on any device. They arrive 30 days, 7 days and 1 day before a warranty ends, on every plan.

  6. Find it in seconds

Search by name or serial number, or filter by warranty status or by items still missing a receipt.

Two Allventory screens: the dishwasher’s Files tab with a Lowe’s receipt, a Bosch protection plan and the manual, each marked with its file type, and the Notifications settings with email reminders switched on.
Attach the receipt, warranty and manual to the item, then turn on reminders before coverage ends.

Questions people ask

How long should I keep receipts for appliances and electronics?

Keep proof of purchase for at least as long as the warranty and any extended plan last, and longer for expensive items, since the same receipt helps with insurance and resale.

Can I make a warranty claim without a receipt?

Sometimes. Manufacturers may accept a registration record, an order confirmation or a card statement, and some can check the serial number. Policies vary, so having a photo of the original receipt is still the safest option.

Where do I find the serial number on an appliance?

Usually on a label or plate inside the door frame, on the back panel, or on the underside. For electronics, check the bottom, the back or the settings menu.

Will Allventory remind me before a warranty expires?

Yes. Record the warranty end date on the item and turn on push or email reminders. They arrive 30 days, 7 days and 1 day before the date.
